1 . Our commitment to your privacy

The Tech Job Network Pty Ltd ACN ___ (“TTJN”, “we”, “our”, “us”) provides referral‑based technology recruitment services (the “Platform”). We are headquartered in Australia and are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Policy explains how we manage personal information we collect in connection with the Platform.

We do not intentionally collect sensitive information (e.g., health or biometric data). If a CV includes such data we treat it as unsolicited information and destroy or de‑identify it unless retention is permitted under APP 4.

3 . How we collect information

  • Direct submission via our website, mobile app or web forms;

  • Email or other correspondence with TTJN staff;

  • Integration with professional‑network platforms (e.g., LinkedIn);

  • Referral by a third party who has your consent to share your details;

  • Automated collection through cookies or similar technologies on our digital properties.

4 . Why we collect, hold and use your information

If we intend to use your information for a materially different purpose, we will seek your consent (APP 5 notice).

5 . Disclosure of personal information

We disclose personal information only:

  1. To authorised hiring organisations you have nominated or approved;

  2. To service providers who host or process data for us (e.g., HubSpot CRM, Google Workspace, website hosting, email delivery). These providers may only use the data to supply their contracted services to us and must meet confidentiality and security requirements;

  3. To our professional advisers (lawyers, accountants) or insurers where reasonably necessary;

  4. When required or authorised by Australian law, court or regulatory agency.

We never sell or rent your personal information and we do not allow prospective employers to contact you directly unless you have consented.

6 . Cross‑border disclosure (APP 8)

HubSpot and Google may store or transmit data on servers located in the United States, European Union and other jurisdictions. Before disclosing information overseas we take reasonable steps to ensure:

  • the recipient is subject to a law or binding scheme substantially similar to the APPs, or

  • we have contractual clauses requiring APP‑equivalent protection, or

  • you have expressly consented to the disclosure after being informed of the potential risks.

7 . Security and retention (APP 11)

  • Data in transit is encrypted via TLS; data at rest in HubSpot and Google Workspace is encrypted according to those providers’ standards.

  • Access is restricted by role‑based permissions and MFA.

  • Hard‑copy records (if any) are stored in locked cabinets and destroyed by secure shredding.

  • We keep records relating to job seekers or referrers for up to two (2) years from the date of the last activity or interaction with the Platform, unless a longer period is required for legal, audit, or taxation purposes. After this period, the records are securely destroyed or irreversibly de‑identified.

8 . Quality, access and correction (APP 10, 12 & 13)

We take reasonable steps to ensure the information we hold is accurate, up‑to‑date and complete. You may request access to, or correction of, your personal information by contacting us (see section 11). We will:

  • respond within 30 days;

  • provide access in the manner you request, where reasonable;

  • explain any refusal (rare) and available complaint mechanisms.

9 . Anonymity and pseudonymity (APP 2)

Because of the nature of recruitment we usually need your real identity to provide our services. However, you may browse our public website anonymously and may decline to supply certain details, though this may limit the assistance we can offer.

10 . Direct marketing & analytics (APP 7)

We will only send electronic marketing communications:

  • with your prior consent (opt‑in), or

  • if you are an existing client and the content relates to similar services and you have an easy opt‑out.

We use cookie‑based analytics (e.g., Google Analytics) to improve site performance. You can control cookies via your browser settings.

11 . How to make enquiries or complaints

If you believe we have breached the APPs, please contact us in writing. We will acknowledge your complaint within five (5) business days and aim to resolve it within 30 days. If you are dissatisfied, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC): oaic.gov.au | 1300 363 992.

12 . Updates to this Policy

We may amend this Policy from time to time. The latest version is always available on our website and is effective from the date stated at the top. Material changes will be notified to registered users via email.
